Privacy policy
What I collect, why, and what you can ask me to do with it.
Last updated: 13 October 2026
Notes from Down Under is a small monthly snail mail club run by me, Victoire (Vic), from Australia. This page explains how I handle your personal information when you visit notesfromdownunder.com, sign up, buy an envelope or send me a message. I keep it simple: I only collect what I need to send you letters and run the club, and I never sell your information.
What I collect
- When you sign up or buy an envelope: your name, email address, postal address and what you bought. Payments are handled by Stripe, so I never see or store your card details.
- When you send me a message: your name (if you give it), your email address and your message.
- When you browse the site: basic technical information such as your IP address, browser, device, the pages you visit and the buttons you click. Some of this is collected with cookies (see below).
Why I use it
- To post your letters to the right address and manage your subscription.
- To email you about your order or subscription, and to answer your messages.
- To understand which of my posts and ads bring people to the site, so I can keep the club growing.
- To keep the site secure and working, and to keep the records the law requires (for example, for tax).
Cookies and the Meta Pixel
The site uses the Meta Pixel, a small piece of code from Meta (Facebook and Instagram). It sets a cookie in your browser and tells Meta when you visit a page, click a sign-up button or complete a purchase. Meta uses this to measure my ads and to show them to people who might enjoy the club. Meta may combine it with other information it holds about you, under Meta's privacy policy.
If you're in the European Union, the UK or Switzerland, the pixel only loads after you say yes on the cookie banner. You can change your choice at any time with Cookie settings. Wherever you are, you can also manage ads in your Meta ad preferences, or block cookies in your browser settings.
The site is hosted by Cloudflare, which also counts visits in a privacy-friendly way, without cookies. Your choices on the site, like the cookie banner answer, are remembered in your own browser.
Who I share it with
Only with the services that help me run the club, and only what they need:
- Stripe, for payments and managing your subscription.
- Australia Post (and the postal service in your country), who see the name and address on your envelope.
- Meta, through the Meta Pixel described above.
- FormSubmit and Google (Gmail), which deliver and store the messages you send through the contact form.
- Cloudflare, which hosts and protects the website.
Some of these companies store information outside Australia, for example in the United States. I may also share information if the law requires it.
How long I keep it
I keep your details while you're a subscriber or customer, then only as long as I need them for records the law requires (usually up to 5 years for tax). Messages are kept as long as they're useful to help you. Meta Pixel cookies expire after about 90 days.
Your choices and rights
You can ask me at any time to see the information I hold about you, to correct it, or to delete it. You can update your details or cancel your subscription yourself through the Login link at the bottom of every page.
If you're in the European Union or the UK, you also have the right to object to or restrict how I use your information, to receive a copy of it, and to withdraw your consent to cookies at any time. I use your information to fulfil your order, because I have a legitimate interest in running and improving the club, and, for the Meta Pixel, because you agreed to it.
Children
The club is open to everyone, but if you're under 18, please ask a parent or guardian to sign up for you.
Contact me
For anything about your privacy, write to me through the contact form. I'll reply within 3 business days. If you're not happy with my answer, you can contact the Office of the Australian Information Commissioner at oaic.gov.au, or your local data protection authority.
Changes
If I change how I handle your information, I'll update this page and the date at the top.
